PT. Bank UOB Buana Tbk. relies on SunFish HR to centralize their HR operation and to optimize their training management structures
December 2007, Jakarta: DataOn announces that PT Bank UOB Buana Tbk ('UOB') has selected SunFish as integrated HRIS solution to web-base and centralize the HR Management of their several branches and service outlets in order to properly support the bank's continuous growth.
UOB, formerly known as PT Bank Buana Indonesia, is a well established bank since 1956, whose principal activity is providing general banking services such as consumer loans, retail commercial loans, and corporate loans. Savings products include current accounts, savings accounts and time deposits. The bank also provides other services including trade financing, bank guarantees, foreign currency transactions, SWIFT, telegraphic transfers and safe deposit boxes. Today UOB employees approximately 6000 employees allocated over 35 main branches, 169 service outlets and 6 cash offices in 18 provinces throughout Indonesia.
Handling that large number of employees in that many different offices and locations with employee records dispersed throughout multiple departments UOB faced many HR challenges, first and foremost that Employee Information were maintained in separate databases and important HR tasks such as Payroll were also processed separately by each location so that it was difficult for UOB's management to obtain an overview of the entire operation from an HR point of view. Busy with administrative data collection and paperwork the bank didn't find much time to focus on an issue important to them, which is to develop their employees through training programs and allow them to keep up with frequent changes, new fields and knowledge.
To change this situation UOB issued a tender for HR software with the following main requirements: 1. A full-featured and completely integrated HR software that would automate and accelerate all their time-consuming HR administration tasks that leaves significant more time for training management issues; 2. Centralizing and controlling the processes for all locations in one HR application; 3. Accommodate future changes and extensions without changing the system.
After a six months evaluation process UOB selected SunFish HR because it best fit their detailed tender requirements. In addition to winning the tender requirements, the bank appreciated DataOn's modular implementation and pricing approach for the system, which would allow the bank implement different modules at different times depending on their needs and readiness.
Once implemented SunFish HR will centralize and automate all administrative, tracking and reporting tasks for the over 6000 employees in 18 provinces. The system not only reduces double entries, redundancies, paper files and errors; but also applies same HR standards, rules and regulation in all locations making the flow of information significantly more transparent and data processing more efficient. That frees the HR people to concentrate on more pressing issues that the companies are concerned with – developing their employees through training measures.
SunFish HR is equipped with an extremely complete training management module that has the flexibility needed to define unlimited training policies and training types. The module associates training programs with job codes and intended skills improvement, monitors courses, tracks session availability, budgets expenses, compares actual with estimated costs, and measures the effectiveness of training programs from different angles – for the employee, of the training itself, the trainer, cost-wise, etc.
Additionally, the module provides for maximum efficiency of the training processing by reducing the processing time of training request and approval since all of it takes place online and is performed instantaneously - without the need for paper records or the costs of transferring paper records between departments for approval and consolidation.
